When a Meeting Becomes an Experience

Most association meetings follow a familiar script: speeches, slides, polite applause, coffee breaks. But at the Natural Products Association retreat at the Biltmore, a leading trade association comprising over 100 companies dedicated to advancing global natural health products, something entirely different happened. For one morning, what was meant to be a routine association meeting became an immersive journey—part ritual, part revelation, part reawakening.
A Different Kind of Association Gathering
This was not a corporate offsite designed for strangers. Many attendees had known each other for years, having shared countless conferences, hotel ballrooms, and committee updates. And yet, what unfolded felt unlike anything they had experienced before.
After the keynote breakfast, the group walked to a separate venue on the property—banquet rooms above Cedric’s restaurant. Bland, corporate, and forgettable, the space was transformed into a sanctuary through thoughtful details. Tables were dressed in gradient cloths that shimmered like a living aura. Pillows, mats, and rugs softened the floor for meditation and rituals. Stations were carefully staged: crystals spilling from bowls, aromatherapy displays glowing with color, each area inviting participants into its own unique rhythm.
The Vibe & Glow Method
At Auratherapy, we call this approach Vibe & Glow—meeting people where they are. Some arrived ready to slow down, choosing to rest and restore. Others were eager to dive into active experiences like aura readings or the crystal and aromatherapy bar.
To guide the journey, each participant received a menu card designed like a passport, encouraging them to walk through stations and collect their own vibe and glow.
The aura reading station was often the first stop. Instead of printed pictures, our green method emails each attendee their 14-page aura report to revisit later—even on the ride home. Each person also received a chakra card showing their chakra numbers, a simple tool for focusing on balance and alignment. As an intuitive, I read these cards with them, identifying how their energy told a story and offering insights to help them shift—sometimes in visible, tangible ways, sometimes in subtle, imperceptible ones.
That’s the goal of Aura Days: to remind people they are their own healers.
Breath, Scent, and Intention
At the aromatherapy bar, I guided participants in breathwork, using the chakra perfume wheel to help them identify scents that matched their current energy. From there, they chose a crystal, anointed it, declared an intention, and placed it in a colored bag. For many, this simple ritual became a powerful moment of clarity.
One attendee whispered to me, “I’ve been to dozens of these meetings, but this is the first time I feel like I’m leaving with something that matters.”
Clearing & Opening
In the sanctuary area, therapists led a clear-away ritual. Attendees lay on mats and pillows, eyes closed, and were guided to release stagnant energy. Others gravitated to the Aura Scent Bar or enjoyed chair massages with our Chakra Seven Massage Oil.
The flow was personal and unstructured, giving people agency. Some needed calm; others needed activation. By the end, each participant had built their own journey.
Anchored by Ritual, Carried Forward by Gifts
Before leaving, every guest received a curated swag bag filled with chakra scents and the Oracle deck they had encountered during the day. Unlike typical event giveaways, this bag held tools to continue the rituals at home, creating ongoing alignment and awakening.
One member summed it up: “I came in expecting another meeting. I’m leaving with a sense of purpose.”
The Reaction
The feedback was overwhelming. Many long-time members remarked they had never seen the association host something so meaningful. Several asked if we could bring Aura Days to their regional meetings, businesses, and future events.
The Future of Aura Days
What we created at the Biltmore wasn’t a one-time wellness add-on—it was the launch of something bigger. Aura Days are a new meeting format, designed for associations, organizations, companies, and wellness events. They’re built on the belief that you are energy, and when that energy is seen, balanced, and honored, everything changes—how you listen, how you connect, how you lead.
We meet people where they are. Some need energy lifted, others need calm. Some want reflection, others seek activation. Aura Days offer all of it—woven together in a flow of experiences that leave participants not just informed, but transformed.
That’s why the response has been so immediate: leaders asking when and where they can host the next one. Because the future of meetings isn’t about longer agendas or fancier venues. It’s about creating mind-body-soul experiences that reveal the best in people and the groups they belong to.
